If you own and operate your facility — whether that’s a single location or several — SpotlightVendor centralizes vendor compliance, runs your RFPs, tracks ongoing projects, and gives you access to better pricing through our network’s purchasing power. (If you manage facilities on behalf of owners, see For Property Managers instead — same product, different role hierarchy.)

Getting started

Sign in, set up your organization, add your first facility, and learn the layout.

Invite your existing vendors

Bring in the vendors you already work with. They join free and your compliance docs all live in one place from day one.

Post an RFP

Describe the work, attach specs, set a deadline. Your network bids; you compare side by side.

Review bids and award work

Compare proposals with compliance status visible at a glance. Award in one click and track the project end-to-end.

Manage your organization

Add facilities, invite teammates, and configure who sees what.

What you get

Audit-ready complianceW-9, COI, Workers’ Comp tracked for every vendor with automatic 30-day expiration alerts. Pass surveys and insurance reviews without a spreadsheet scramble.
Vetting flexibilityApprove a vendor once for your whole org, or require additional facility-specific documents on top when a particular site needs it.
RFPs and bidsPost requests, get competitive bids back, award work in one click, and track the project to completion.
In-app chatProject conversations between you and vendors stay tied to the project. No lost email threads.
Purchasing powerNetwork members access negotiated vendor pricing not available individually.
Role-based accessOrg admins see everything. Facility managers only see facilities they’re assigned to. Delegation is safe.

What we recommend doing first

  1. Add your existing vendors. Send invitations from the Vendors tab. They join free and get an automatic prompt to upload their compliance docs.
  2. Post one RFP — even a low-stakes one — to learn the bid flow before you actually need it for a real project.
  3. Bookmark the Compliance dashboard. That’s where every expiring document lives, and where you’ll spend ~5 minutes a month catching issues before they become regulatory findings.
